Inventory Management

Every container, every location, every date control

A pharma store is not a warehouse with shelves. Material sits under quarantine until QC says otherwise, potency changes what you dispense, and a retest date can turn approved stock into held stock overnight. This module tracks material at container level with the status logic that GMP requires.

Capabilities

What Inventory Management covers

Status and control

  • Quarantine, under test, approved, rejected and hold, each with its own label
  • Date controls across manufacturing, expiry, re-evaluation, retest and shelf life
  • Retesting schedule that raises the request before the date passes
  • Potency-based issue calculation so dispensing adjusts to assay value

Location and movement

  • Location chart down to rack and pallet, mapped to storage conditions
  • Credit and code-to-code transfer, party return, disposal and material sale
  • Gate entry, goods inward and GRN with a configurable receipt checklist
  • Outward gate pass for returnable and non-returnable movement

Visibility

  • Stock statement with valuation and inventory ageing by material and company
  • Shortage, excess, non-moving, near expiry and expired material registers
  • Container-wise cardex and AR-number-wise traceability
  • Stock statements formatted for banks and loan licence partners
AI in this module

What the system notices for you

Suggestions only. Nothing here signs, approves or dispositions anything — a qualified person decides and the audit trail records who. Every model shows the data behind its suggestion, and every feature can be switched off per site.

DeepPharma AI

Expiry write-off prevention

Ranks near-expiry stock by value and by which planned batches could still consume it, so material moves before it is lost.

DeepPharma AI

Reorder optimisation

Balances holding cost, lead time variability and batch plan coverage instead of a static minimum level.

DeepPharma AI

Slow-mover detection

Identifies material that has quietly stopped moving and the products that stopped using it.

Questions

Inventory Management — common questions

How does potency-based issue work?

When an API assays below its label claim, the quantity to dispense changes. The system calculates the adjusted quantity from the assay value recorded against that batch, so the operator is not doing the arithmetic on a calculator.

Can material be tracked below warehouse level?

Yes. The location chart goes down to rack and pallet, mapped to storage conditions, so a container can be found rather than searched for.
